• Payment information: Billing details processed securely through Stripe. We do not store credit card numbers.

How We Use Your Information

• To operate and provide the AI receptionist service.
• To send email notifications to contractors about incoming calls.
• To process payments and manage subscriptions.
• To improve our service quality.

Email Communications

By signing up for CallOrchard, contractors consent to receive automated email notifications containing call summaries and daily digests. Email frequency depends on call volume. You can opt out of email notifications at any time by contacting support.

SMS/Text Message Notifications

SMS notifications are optional. CallOrchard sends text messages only to contractors who check the SMS consent box on our signup form. You do not need to opt in to SMS to use CallOrchard.

• Information we collect: the mobile phone number you enter at signup, whether you opted in to SMS, the date and time of your opt-in, the consent language shown to you, and any opt-out requests.
• How we use it: to send you text message summaries of calls answered on your business line, and to process your STOP and HELP requests.
• Message frequency: message frequency varies based on call volume.
• Cost: message and data rates may apply.
• Opt out and help: reply STOP to opt out at any time. Reply HELP for help.

Mobile information collected for SMS messaging will never be shared or sold to third parties, affiliates, or lead generators for marketing or promotional purposes.

Data Sharing

We do not sell your personal information. We share data only with the following service providers necessary to operate our service:

• Retell AI — voice AI processing
• OpenAI — call transcript analysis
• Resend — email delivery
• Twilio — SMS delivery
• Stripe — payment processing

Data Retention

Call records and transcripts are retained for the duration of your subscription. Upon account cancellation, your data will be deleted within 30 days upon request.

Security

We use industry-standard security measures including encrypted connections (HTTPS), secure API authentication, and access controls to protect your data.
